View All Leads

Introduction

The “View All Leads” page expands your sales funnel, enabling you to further segment and filter your lead data. By default, the View All Leads page will show you all Leads that have been generated automatically from your various external marketing channels (Lead Sources), including any you entered manually. This page is not a report but allows you sort and create lists.

 

Search Options
At the top-right hand of the screen are two search fields:

  • Date:  This allows you to pick a defined range like “Last Week” or “Last 12 months,” or you can click  Select Dates to create a custom date range.  You can also use this date range on other screens to filter reports and views.
  • Search: This will show you a list of possible results as you begin to type in a lead’s name. If you don’t see a quick result for what you have entered so far, finish typing the full name and click Go to see additional results.

 

Sort and Filter Options
The blue Filters bar options allow you to filter your list of leads. You can apply multiple filters simultaneously to refine your results more accurately. You can sort the following columns:

  • Lead Source: This filter displays leads that match the lead sources you’ve added to your MML account.
  • User Name: This filter shows leads associated with the users in your MML account.
  • Procedure: This filter displays leads that match the procedures you’ve added to your MML account.
  • Status: This filter shows leads with the status currently in your sales funnel.
  • Lead Type: Use this filter to view EMR-generated leads and sort through any phone calls tracked through MML.
  • Location: This filter requires that you have multiple locations configured in your MML account.

Reset: Clicking this button will clear any active filters so you can view your full list of leads.

Excluding EMR Generated Leads
If your site is integrated with your EMR and scheduling tool, any patients created there will not appear by default in the “View All Leads” section, as they are not counted among your external lead sources. A message stating “Excluding EMR Generated Leads” will be displayed at the top of the “View All Leads” list. To include patients from your EMR and scheduling tool in the “View All Leads,” select “View All” from the “By Lead Type” filter drop-down in the blue filters bar. Once you do this, the message at the top of the list will update to “Including EMR Generated Leads.”

Viewing your list of Leads

Posted TimeThe list will always display the most recently submitted lead at the top of the page, including any duplicate leads. If a current patient or previous lead submits a new webform, their existing lead will be merged and moved to the top of the list.

Contact list
The last column indicates how many times a lead was manually contacted by users. This provides a quick way to identify leads that require further outreach, such as a phone call, email, or text message. It’s important to note that this data does not include any campaign or automatic emails sent to the leads.

Export Leads
If you want to continue fine tuning your list of leads, you can EXPORT from the View All Leads page (any sorted list). This will give you the ability to sort more of your data to create more results outside of our canned reports. To export your list to an Excel file, scroll down and click the “Export” button in the bottom right corner. This will open your list in your default spreadsheet application, such as Microsoft Excel.

For fields that require filtering by multiple criteria (e.g. Status = Consult Complete and Procedure Complete), avoid applying a single filter. Instead, utilize Excel’s more advanced filtering and analytical tools to achieve the desired results. Additionally, the exported report version includes all columns displayed on the “View All Leads” screen, as well as other data:

  • Last Post Date
  • Lead Name
  • User Name
  • Email

  • State
  • Zip

  • Mobile Number
  • Lead Source

PLEASE NOTE: When exporting leads from MyMedLeads for use in another marketing platform, be sure to exclude any leads that have unsubscribed from email or text messages. You can filter out the unsubscribed contacts on the exported Excel sheet before uploading the data to your new system.
