Introduction

This guide will help you properly set up your Procedure of Interests within your MyMedLeads account. The Procedures in this list can be used in various ways within your MyMedLeads account. This article will assist you in aligning the different lists of procedures – between your website, MyMedLeads, and your Scheduling Software – to ensure consistency.

Intended Audience
This document is intended for staff members with access to MyMedLeads. These staff members should be familiar with the practice’s and/or doctor’s online presence, including the specific websites generating leads, such as directory and profile sites. Your webmaster or web marketer can help gather this information. Additionally, if MyMedLeads is integrated with the practice’s scheduling software, the staff member should have access to that software as well.

 

What Procedures Do I Need to List and Configure

Leads can be associated with no Procedures, a single Procedure, or multiple Procedures of Interest. When Appointment Data is detected or an Appointment is created, only a single Procedure can be identified for that Appointment. This Appointment’s Procedure will be one of the Account’s Procedures of Interest.

The MyMedLeads Platform uses this Procedure of Interest data in various features, which are listed below along with how the logic utilizes the data.

  • View All Leads Page – Easily filter leads by their Procedure of Interest.
  • Marketing Campaigns use the Lead’s Procedure of Interest to determine which marketing campaigns they should be included in. Marketing blasts can also target leads interested in specific procedures, like “Rhinoplasty”, based on their Procedure of Interest. However, there are some marketing campaign types that use the Lead’s Appointment Procedure rather than their Procedure of Interest.
  • Feedback Reviews are triggered after a Surgery or Minor Procedure is completed. The system waits a set number of days before requesting a review, allowing time for the procedure to heal before asking for feedback.
  • Scheduling Software Integrations use the account’s list of procedures to identify the Procedure associated with an incoming Appointment. The appointment data is parsed to find a matching Procedure. If no match is found, the appointment is marked as having no associated Procedure.

 

Compiling the List of Procedures
This list of procedures should reflect two key considerations: the process your staff uses to nurture leads and schedule appointments, and how you want to track your marketing efforts. You’ll want to track your leads’ specific procedures of interest, so you can market to them effectively. It may be important for staff to know early on that a lead is interested in a specific procedure, rather than grouping it broadly (e.g. “dermal fillers”).

There needs to be a balance between your internal procedures and the tracking of your marketing efforts. It’s acceptable to bundle related procedures under a single MML procedure – for example, grouping Juvederm, Restylane, Radiesse, and Sculptra under “dermal fillers”, as these are typically managed similarly in marketing campaigns.

Once your online procedures are established, review your scheduling software. While the MyMedLeads platform can handle unknown procedures, some features rely on the procedure to trigger communications. If your website and MyMedLeads procedures match your scheduling software, no additional mapping will be required.

Entering the List of Procedures and Mappings
After compiling your list of procedures, log into your MyMedLeads account and go to Preferences > Add/Edit Services. Here, you can add the procedures from your list. If you’ve identified groupings that need to be mapped – for example, mapping the “Juvederm” procedure to the “Dermal Fillers” procedure in MyMedLeads – you’ll need to add those mappings as well.

Some Exceptions
Website integrations that require the email mapping solution do not use the procedure mappings you’ve entered. If you need to include a MyMedLeads email address to integrate a form or website, you must inform the team how your online forms submit procedures and how you expect them to be mapped.

Mapping the Procedures

After compiling your list of procedure names, we can begin the mapping process. MyMedLeads will set up mapping to properly target Procedures within MyMedLeads.
