Introduction

The MyMedLeads Platform enables you to track Leads in various ways. You can monitor your website’s performance, the Lead generation and patients from PPC campaigns, and the Leads produced by your online profiles directing traffic to your site. Depending on your desired Lead tracking, set up appropriate LeadSources and Call Tracking Numbers. While you could create one LeadSource matching your website name, apply it to both form submissions and calls. This simplifies tracking website visitors who become Leads by contacting your office.

The attached document explains creating Lead Sources, adding Referrers like Google Ads and directories, and consistently capturing Leads regardless of their contact method – your web form, calling your site’s phone number, or submitting a directory site’s web form advertising for you.

This document is designed for your Marketing Team and omits technical details. It provides your marketing staff with information on how the Lead was tracked and where to find this Lead type in reports, so the team understands the Lead tracking process.

Collecting Your Lead Sources

What is a Lead Source?
The MyMedLeads Platform defines a Lead Source as any medium that generates sales leads by gathering contact information. Common Lead Sources include websites, directory listings (like RealSelf), billboards, print ads, TV commercials, and more.

What a Lead Source tells you:
The LeadSource identifies where the Lead first found your practice, such as your website. However, the LeadSource alone provides limited insight. The MyMedLeads Platform also tracks Referrers, which are search engines or online links that directed the Lead to the form or phone number used to contact your office. Tracking Referrers provides more helpful context about the Lead’s journey before contacting you.

Your first step is to identify your Lead Sources
Make a list of all the current Lead Sources used to generate Leads. Identify if each Lead Source is a phone number, web form, or both. The list should include your website, online profiles with web forms that email your staff, and any place you advertise a phone number for leads like billboards, magazine/TV ads, landing pages, etc.

Once you’ve compiled the list, go to Preferences -> Add/Edit LeadSources in MyMedLeads to create the Lead Sources.

Applying Your Lead Sources

Once your team has entered all identified LeadSources into MyMedLeads, associate each LeadSource with its type – Phone Number, Your Website, or Directory Site – using the list collected in the first step.

Your Website
When your website is integrated with your MyMedLeads Account, our team uses the correct Lead Source. If your site is integrated with our Form API (which is typical unless otherwise noted), referrers are already tracked so no further action is needed. The website integration automatically detects if a Lead came from PPC, organic search, or a known directory site. The API applies these referrers, allowing your team to find Leads in various reports.

You may want to track website visitors who call the homepage or header phone number. This number can be replaced with a MyMedLeads Call Tracking Number to identify referrers (see below for creating these). The Platform can track referrers by replacing Phone Numbers with a Call Tracking Number that has the referrer pre-identified. Normally the LeadSource for this Number is your website (e.g. drsmith.com) and you then apply the Referrer.

Directory and Online Profile Websites
Directory websites like RealSelf.com and BuildMyBod.com, where your practice may have a profile or membership, are one type of lead generator. When a prospective patient finds your profile on one of these sites and contacts you by calling the listed phone number or filling out a webform that sends their information to you, track that lead as coming from the directory site. The MyMedLeads platform can parse lead details from an email. For leads from a specific directory site, use the site’s name as the lead source for both web form submissions and phone calls so you can track interest generated by that site.

Phone Call Tracking
When advertising your practice on television, billboards, or print, we recommend replacing your office number with a Call Tracking Number that we provide. This allows the call to be recorded, with the caller ID pulling lead details to generate a new lead or update an existing one. The LeadSource name should describe where the phone number is advertised. When creating a phone number in MyMedLeads, you must select the appropriate LeadSource. You can also optionally associate a Referrer with the phone number, usually used with our Dynamic Call Tracking solution to identify leads from Google AdWords while simply using your website as the LeadSource.

Reporting and Tracking Lead Sources

The MyMedLeads Platform offers multiple ways to view your leads and their origins. The Conversion Report tracks leads from a single source and whether they booked consultations or procedures. The View All Leads page lets you filter leads by source to see all generated leads regardless of booking status. The Referring Url and Keywords Report under Reports shows the total leads produced by search engines, PPC, directories, and other referrers.

Conversion Report
This report shows the number of leads from each source (such as website forms and phone calls) and how successfully those leads converted into patients. The lead sources in this report can be applied to web forms on your website and call tracking phone numbers to monitor results.

Conversion Report by Referrer
By navigating to the LeadSource Conversion report you are able to toggle it to show Conversion by Referrer.

Keyword and Referral Report
This report demonstrates what keywords are being used to find your website(s) and the referring online source.

Phone Call Summary Report
The Call Tracking Report is a great place to listen to all calls.  The calls are broken into monthly segments.
